Account Inquiry Account Maintenance

Account Inquiry provides quick access to some of the most common functions used when maintaining an account. Customer Notes, Customer Issue, Overdue Letter, Suspend , Resume , Pay Now and Credit Limit functions can be accessed directly from Account Inquiry. Also see Related Topics.

 

Account Inquiry

 

Customer Notes

 

  1. Click the Customer Notes button.
  • Add/Modify Customer Notes window will open.
  • Existing Customer Notes will appear in the grid.
  • Click on the Site drop down to select notes for a specific site.
  • Note Details will be displayed for the note selected in the top grid.
  1. Changes can be made to existing notes.
  2. Click Add to Add a new note.
  1. Enter Subject, Select Note Type, Site (if applicable), Follow Up Date (if applicable), Purge After X day(s), Note Text.
  1. Click Print to Print a note.
  2. Click Delete to Delete a note.
  3. Click Popup if you would like the note to Popup when the account is accessed.
  4. Click Save Changes.

 

Customer Issue

 

  1. Click Customer Issue
  2. Select Add Customer Issue or View Customer Issues.

  1. When you Add Customer Issue, New Customer Issue window will open.
  2. Populate fields with customer issue details.
  3. Click Save.
  4. Optional, Notify, Print or Schedule.
  5. Click Resolve to close and Resolve the customer issue.
  6. Click Add to Add a comment.
  7. Click the Images tab to View, Add, Scan, Modify or Delete and Image.
  8. Click History tab to view history emails and resolved dates related to this issue.

  1. When you View Customer Issues, the Customer Issues grid will open.
  2. Click Display Resolved to include Resolved Customer Issues in the grid (optional). Resolved issues will appear in the grid in orange.
  3. Double click on the Issue in the grid to open the Customer Issue.
  4. Repeat steps 4-10.

 

Overdue Letter

 

  1. Click Overdue Letter.
  • If Overdue Letter button is unavailable, verify the Settings for Overdue Letter box at the bottom right section of the screen is checked.
  • Changing the Overdue Letter setting on or off will update the Overdue Letter setting in Customer Explorer as well.
  1. Select an option to Preview, Print or Send To (Email).
  1. Select the Overdue Letter Title. The example below displays the default Overdue Letter Titles (Reminder, Suspension Notice, Cut Off, Legal Action) which can be modified in Company SettingsClosedCompany Settings>Accounting .

Suspend

 

  1. Click Suspend.
  2. Suspend Customer window opens.
  3. Select Suspend Date.
  4. Select Suspend Reason.
  5. Click Suspend.

 

Suspended Customer will be identified in blue and labeled Customer Suspended.

 

Resume

 

When a customer is suspended, the Suspend button will change to Resume.

  1. Click Resume.
  • Customer/Site reinstated message will be sent.

 

Credit

Credit Warning and Credit Limit can be setup or modified from Account Inquiry. Credit settings are located at the bottom right section of the screen.

 

  1. Click in the Warning and/or Limit field.
  2. Enter Warning and/or Limit amount.
  3. Press tab
  4. Save changes.
Changes to Credit Warning and/or Limit in Account Inquiry will automatically update the Credit Warning and Limit in Customer Explorer: Customer Details.

 

Pay Now

Pay Now is used to receive payments/take deposits for Credit Cards , Preauthorized (ACH) or Other Direct Payment Posting via any Payment Type and apply them directly to the customer account through Account Inquiry.
